Why invest in training management software?
Training organizations have numerous administrative obligations, from drawing up quotations, agreements and certificates, to organizing training sessions and assigning instructors.
To simplify processes and save time, many training organizations turn to training management software. These specialized software packages can automatically edit documents, manage schedules, absences and satisfaction questionnaires. Most of them also reduce the time spent on accounting, by providing statistics and summary tables to show which customers have paid, are awaiting payment, etc.
Software is also available to manage not just the administrative side of training, but also the pedagogical side, with integrated platforms for storing documents, livening up training sessions with games, and even offering distance learning courses on an integrated platform.
So there are a great many training organizations interested in this software. These include, of course, training centers with large numbers of instructors and numerous training sessions, as well as independent trainers looking to save time and/or boost their training activities.
How do you choose the right software?

To choose the best business management software, you first need to be aware of your specific needs. We recommend that you start by answering the following questions:
What is your organization? Training organization with several teachers, independent trainer, skills assessment center, apprentice training center…?
Are your training courses face-to-face, online or hybrid?
What areas do you need management software for?
For your accounting (invoicing and quotations in particular)?
For the administrative side (catalog management, document generation, trainer and customer management, financial and pedagogical reporting, etc.).

Understanding the different types of software
When you’re looking for management software, you’re often confronted with a host of acronyms that are supposed to tell you something about the nature of the software in question. However, these acronyms are not always easy to understand.
The LMS (Learning Management System) is a software package designed for educational purposes, particularly distance learning. It generally includes spaces for creating, storing and sharing content and activities with learners. Some also feature an integrated virtual classroom, meaning you can run your online courses directly from the software, without needing to connect to an external platform such as Zoom or Teams.
CRM (Customer Relationship Management) is designed to manage your customer relationships. In general, you can store customer data, draw up quotations and invoices, track the progress of files, and so on.
Finally, ERP (Enterprise Resource Planning) is designed to help you manage your business. You can generally generate documents, plan tasks and projects, store data, etc.
Most training organizations need at least two of these types of software. Fortunately, there are many software packages available today that are actually two-in-one, or even all three at once.

Now you know what you need and what kind of services you want to buy. Now you need to compare different software packages.
Of course, it would be impossible to compare all business software, but we recommend that you investigate at least three of them, in order to compare the services offered, optional services (at extra cost) and prices. Some offer free trials, so there’s nothing to stop you from trying out one or even several software packages to get a better feel for them and determine whether or not they’re right for you! It’s important to take the time to do your research and test out different software packages, as this will help you and your teams to make the most of your time.

Management software and Qualiopi
Now that Qualiopi certification has been mandatory since January1, 2022, in order to benefit from public and mutualized funds, some management software packages have chosen to adapt their practices, and in particular their standard documents (agreements, quotations, catalogs…) so that organizations do not forget to indicate all the information required to maintain certification. Continuous improvement is also often taken into account, through precise reporting and statistics based on feedback from customers and learners.
This point can therefore be taken into account when making comparisons, to optimize your chances of maintaining your certification.

Software to manage administration and training sessions

Software with pedagogical advantages for distance learning

Valsoftware’s comprehensive offering is ideal for training organizations wishing to benefit from all types of management. In terms of marketing, it is possible to manage sales actions, monitor prospecting and create campaigns.
The software is designed to help OFs maintain their Qualiopi certification, and it is possible to integrate an LMS in addition to the options already integrated.

In addition to its proven strengths in administrative, commercial, financial and quality management, Dendreo enables effective management of distance learning and blended learning courses. In particular, they offer a very practical “Dendreo Live” virtual classroom option within extranets, which greatly facilitates the management of videoconference invitations and integrates directly with document sharing, enrolment, electronic signatures and satisfaction questionnaires.
Dendreo does not offer an LMS, but powerful native integrations exist with several well-known LMSs (Moodle, Dokeos, Thinkific…), enabling a unified, transparent administrative and user experience.
Finally, a number of advanced options are appreciated, such as “duplex” training management (both face-to-face and distance learning), automatic provision of replays of virtual classes, learning paths, participant evaluation, pre- and post-training self-assessment, and of course customizable satisfaction questionnaires.

Administrative management software with marketing benefits
This software features a customer portal, from which customers can register employees for your training sessions. This is an interesting advantage, as it automates the registration system. With Cirrus Shield, you can also manage your training courses, organize sessions, administer online satisfaction questionnaires and track your key indicators. You’ll also enjoy a number of marketing benefits such as lead generation, sales prospecting, partner management and data analysis.

This is particularly true of Queoval, which offers an ” Independent” package at €59 excl. tax per month. It includes a single user, an integrated virtual classroom, digital content management, online questionnaires and quizzes, training and administrative management, and email campaigns.
In addition to the package mentioned above, Digiforma also offers an ” Indep ” option at €69 ex. VAT per month, which includes an integrated e-learning platform, administrative management functions, a virtual classroom (limited to 20h00 per month), an online CRM and catalog, and storage space.
DFIS is an ideal platform for small businesses and the self-employed. It’s primarily a CMR that lets you manage your invoicing, easily communicate your data to your chartered accountant by creating free access for him/her, manage your marketing (notably via sales campaigns) and training (necessary documents, training titles, trainers, etc.), and help you draw up your GMP. A multi-user option is available.
You have access to a 15-day trial period. If you then wish to continue with DFIS, you will need to pay €23.75 plus VAT for the three modules (Training, Invoicing and CRM). Valsoftware offers a tailored solution for centers with work-study students. The space is adapted to manage work-study programs, professionalization contracts, follow-up visits, internship assignments, etc.
Based on the same principle, Alcuin also offers a dedicated space for managing partner companies, tracking work placements, managing contracts and monitoring work-study programs.
This software is designed primarily for CFAs. It features individualized learner follow-up, a learner and company portal, visit report entry, grade and report card management, and contract management.
