Why optimizing Qualiopi is (much) smarter than just “having it”.

Since Qualiopi certification became compulsory for all training organizations wishing to benefit from public or mutualized funding, the landscape of professional training has undergone profound change. Qualiopi has become an essential step in structuring one’s activity, proving the quality of one’s offering and reassuring funders, prescribers and beneficiaries. In practice, however, too many organizations – particularly small OFs and independent trainers – still see this certification as a mere administrative formality to be ticked off. Few really take the time to optimize Qualiopi, which then becomes a trap rather than a lever.

As a field auditor and Qualiopi consultant at Diligence Consulting, I see audits every day where practices are over-documented, procedures copied and pasted, indicators misinterpreted.

And that leads to one thing: a loss of meaning. Optimizing Qualiopi is, on the contrary, an opportunity to rethink practices, streamline procedures, clarify priorities… and transform an obligation into a performance lever. This is exactly what we offer with our tailor-made Qualiopi support packages.

Why optimize Qualiopi - Sandrine Ouilibona, DC Manager, OPAC Partner

✨ Welcome behind the scenes of the Qualiopi audit – A field auditor’s view

Since December 2019, I’ve had the privilege of working as an auditor for AFNOR Certification, within the framework of the National Quality Standard.
Over the course of my audits, I have met passionate managers, committed teams and committed trainers. These exchanges were deeply human, often inspiring, sometimes touching, always enriching.

At the same time, I helped a number of customers achieve Qualiopi certification – without ever being judge and jury, of course, in keeping with the ethics of the auditing profession.
This dual role enabled me to see things from two different angles: that of the evaluator and that of the trainer.

Before that, I worked in the EdTech sector, where I managed structured quality initiatives, lived through (and survived 😄) ISO 9001 audits, and contributed to the implementation of demanding standards.

👉 It’s this experience in the field, combining methodological rigor, understanding of the standards and audit feedback, that I’d like to share here.
With kindness, transparency… and sometimes a touch of humor.

Welcome to the “Qualiopi – Auditor’s chronicles” section: findings, keys and a human perspective on an exciting profession: that of Qualiopi auditor.

Many organizations, for fear of doing the wrong thing, end up multiplying documents, adopting standard models that are not contextualized, or applying procedures that are unsuited to their structure.

What the auditor is looking to assess is not the quantity of documents, but the overall consistency of the quality system.

An independent trainer with 25 trainees a year doesn’t need a system equivalent to that of a CFA with 2,000 learners.

And yet, I still see too many useless or misunderstood documents, such as complex cold surveys, HR procedures for a single person, or indicators disconnected from reality on the ground.

In auditing, you quickly develop a kind of instinct: a sharp eye for detecting what is copied, inappropriate or not used. An undated document, a procedure not integrated into day-to-day operations, a welcome booklet full of generic elements… These are all obvious. But most glaring are the vague answers to simple questions: ‘How do you deal with complaints?’, ‘How do you evaluate the achievement of objectives?

When these answers are hesitant, when no evidence is naturally produced, the auditor understands that the system is not lived. It’s not a question of documentary volume, but of internal logic. And that’s why Qualiopi support like that offered by Diligence Consulting makes all the difference: we start from your actual practices, and build around them, with method and common sense.

That’s what optimizing Qualiopi means: adapting the indicators to your business so that they become real levers for saving time, not wasting it!

Too many organizations approach Qualiopi indicators as strict obligations, without seeking to understand their spirit. However, each indicator in the National Quality Standards has a precise objective. It’s not a question of responding in a mechanical way, but rather of adapting the response to the reality of the organization.

Take indicator 2 for example: it’s not just a question of publishing a success rate, but of presenting useful indicators to your funders and your beneficiaries or prescribers.

During an audit carried out in 2023, I met Valérie, an independent trainer specializing in the care professions. She trains around 25 learners a year, in short 1-2 day sessions. In preparation for her Qualiopi audit, she had set up a complex system of cold surveys, three months after the end of the sessions. A procedure deemed mandatory by one of the consultants she had consulted.

The result? She spent hours sending reminders, collecting random responses, analyzing useless data… and ended up feeling guilty because the response rate was so low. During the audit, this procedure quickly became irrelevant. Why? Because it had no real impact on its continuous improvement. Indicator 30 of the National Quality Standards does not call for a standardized survey, but rather for effective consideration of feedback from stakeholders. In his case, on-the-spot surveys were more than sufficient.

For her, optimizing Qualiopi meant simplifying her process!

Optimizing Qualiopi doesn ‘t mean cutting back on quality or ignoring requirements. It’s about matching your practices to the requirements of the standard. This means removing what’s unnecessary, reinforcing what’s useful for requirements and business, and clarifying what’s unclear. The right Qualiopi support will help you find the right balance.

At Diligence Consulting, our mission is to provide you with the tools, the customized models, but above all the method to make your quality system coherent, lively and useful.
